Privacy Policy

Introduction

VoxFlow is a macOS voice-to-text application developed and operated by QnA Sverige. This privacy policy explains what data we collect, how we use it, and your rights regarding that data.

Data We Collect

When you create an account and use VoxFlow, we collect the following information:

• Email address (for authentication and account recovery)
• Hashed password (never stored in plain text)
• Display name (optional)
• Usage quota counts (how many transcriptions and AI enhancements you have used)
• AI feedback metadata (intent type, style preset, text lengths, model used -- no user text is transmitted)
• Stripe billing data (customer ID, subscription status)

Voice Audio

Voice audio is processed entirely on your device using Apple's Speech framework. No audio data is ever transmitted to our servers or any third party.

How We Use Your Data

We use your data for the following purposes:

• Service delivery: authenticating your account and tracking your usage quota
• Billing: processing payments and managing subscriptions through Stripe
• AI text enhancement: sending your transcribed text to our AI provider for optional enhancement
• Service improvement: analyzing anonymized metadata to improve the product

Third-Party Services

VoxFlow uses the following third-party services:

• Stripe (payments) -- receives your email address and billing information to process subscription payments
• OpenRouter (AI text processing) -- receives your transcribed text for enhancement when you use the AI feature. Voice audio is never sent to OpenRouter.
• Google (OAuth sign-in) -- receives your email address for identity verification when you choose to sign in with Google

Data Storage

Your data is stored in a Cloudflare D1 database located in the European Union. Data is retained until you delete your account.

Your Rights (GDPR)

Under the General Data Protection Regulation, you have the following rights:

• Right to access -- you can request a copy of your data by contacting us via email
• Right to erasure -- you can delete your account and all associated data from within the macOS app
• Right to data portability -- you can request an export of your data by contacting us
• Right to withdraw consent -- you can stop using the service and delete your account at any time

Account Deletion

You can delete your account from within the VoxFlow macOS app. This permanently removes all server-side data associated with your account, including your profile, usage history, and subscription records. Stripe customer records are managed by Stripe per their own retention policy.

Age Requirement

VoxFlow is intended for users aged 13 and older. We do not knowingly collect data from children under 13.

Jurisdiction

QnA Sverige operates under the laws of Sweden and the European Union. The General Data Protection Regulation (GDPR) applies to all data processing activities described in this policy.

Changes to This Policy

We may update this privacy policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of VoxFlow after changes constitutes acceptance of the updated policy.
